Terms of Use

1. Overview 
Welcome to Planning Assistant Ontario by LifeCourseOnline. By enrolling in this program, you agree to the terms outlined below. Our goal is to support you in person-directed planning through structured sessions with a planning facilitator and provide you with access to the  LifeCourseOnline platform. 

 

2. Program Structure 

  • The program runs for one year  

  • Participants receive a one-year license to LifeCourseOnline. See here for the LifeCourseOnline terms of service and privacy policy, which you also agree to by signing up for this program. 

  • Participants have access to monthly planning sessions for a total of 12 sessions within one year.  

  • Sessions are delivered virtually via Zoom or Teams on business days from 9 a.m. to 5 p.m.  

  • Sessions are typically held once a month; however, alternative scheduling may be accommodated based on the availability of our planning facilitators. 

  • You will be assigned a planning facilitator based on your scheduling preferences. 

 

 

3. Payment & Passport Funding 

  • Purchase 
    Services can be purchased on our website at xxxx. You will be issued an invoice and someone will be in touch to help you get started. 

Passport Funding Submissions 

  • This program is fully reimbursable for recipients of Passport Funding under ‘Person-Directed Planning and Facilitation Services’ in Ontario. Program participants are responsible for understanding their Passport program status and available funds and otherwise ensuring that they are able to submit successfully for reimbursement. Clients are responsible for submitting their invoices for Passport reimbursement. *We will assist in connecting you to submission supports if you are managing your expenses through MyDirectPlan. 

Passport Approvals  

  • If Passport Funding is denied for reasons of program eligibility, we will assist by working directly with your Passport Agency to review the claim. If we are unable to resolve the denial, participants are entitled to a FULL REFUND for all products and services. *Note that refunds apply to the x package only and not to x.  

 

 

4. Privacy & Confidentiality 

  • All personal information shared during the program will be kept confidential. 

  • Planning Assistant sessions may not be recorded or shared without prior consent. 

  • We have a legal duty to report any suspected abuse, neglect, or criminal activity to the appropriate authorities, as required by law. This obligation is in place to ensure the safety and well-being of all individuals in the program. 

  • We do not solicit any personal information from children. If you are not 18 or older, you are unable to participate in the program.   

  • All participants are subject to the LifeCourseOnline platform’s Privacy Policy and Terms of Use. You will consent to these policies again upon signing up for the platform. See both policies here. 

Invited Third Parties 

  • You are welcome to invite others to participate in your planning sessions; by doing so you acknowledge that: 

  • You are responsible for any information you choose to share during the sessions. 

  • We do not control, monitor, or take responsibility for how invited participants use, store, or disclose the information you share. 

  • It is your responsibility to ensure that those you invite respect your privacy and confidentiality. 

  • If you have concerns about confidentiality, we recommend discussing expectations with your invited participants before sharing sensitive information. 

  • While we maintain strict confidentiality within our services, we cannot guarantee the actions or conduct of third parties invited by you. 

 

5.  Session Guidelines 

 

A. Participant Choice & Session Use 

This program is designed to be participant-led, giving you the flexibility to shape each session based on your needs and priorities. Our facilitators are here to support your person-directed planning, but how you use your session time is entirely up to you. 

If you choose to explore topics outside of your planning goals, that is your decision; however, the session will still be considered completed. To get the most value from the program, we encourage you to stay focused on your goals and use each session as an opportunity to advance your planning. 

  • Our facilitators are here to support your person-directed planning, provide guidance, and help you explore your options. However, we do not directly connect you to services, programs, or funding opportunities. 

  • While we can help you identify potential resources and strategies, it is your responsibility (or that of your support network) to contact service providers and complete any required tasks or follow-ups. 

  • We do not provide case management, direct referrals, or guarantee access to specific services. 

B. Session Rescheduling & Cancellations 

  • Rescheduling: Participants may reschedule a session with at least 48 hours' notice. 

  • Late Rescheduling: If a session is rescheduled with less than 48 hours notice, it may count as a completed session.  

  • Missed Sessions: If you do not attend a scheduled session without prior notice, it may count as a completed session. 

  • Late start: If you arrive late to a session, the session will still end at the originally scheduled time. Any lost time due to lateness will not be added to this or other sessions. 

  • Rescheduling by Facilitators: While we strive to maintain a consistent schedule, there may be circumstances where a facilitator needs to reschedule a session due to illness, emergencies, or unforeseen events. In such cases, we will provide as much notice as possible and work with you to reschedule at a mutually convenient time. If a facilitator is unavailable for an extended period, we will assign a new facilitator to ensure continuity of support. 

 

6. Cancellation & Refund  Policy 

  • Cancellation Policy: If you choose to withdraw from the program, please notify us in writing at planningassistant@lifecourseonline.com. We do not issue refunds for unused services. You are charged for the year. 

  • License Fee: The $500 LifeCourseOnline license fee is non-refundable if paid out of pocket. However, if the fee was submitted for Passport reimbursement and the claim is denied, we will work with your Passport Agency to determine the reason for the denial. If the claim remains denied after this review process, a refund will be provided for the license. 

  • Sessions: Refunds for unused sessions may be provided on a case-by-case basis. 

  • Passport Reimbursement Issues: If the Passport denies a claim and the issue cannot be resolved, you may choose to continue with the program without a refund or withdraw from it. 

  • If you have been approved through Passport Funding or have paid out of pocket, you will not receive a refund once the program has begun. 

  • If you need to withdraw from the program, we will discuss potential credit or alternative solutions on a case-by-case basis. 

  • If we are unable to fulfill our commitment (e.g., unforeseen circumstances), a pro-rated refund may be considered. 

 

Termination of Services 

  • We reserve the right to discontinue services if a participant: 

  • Fails to comply with these Terms of Service. 

  • Engages in behaviour that is abusive, discriminatory, or disruptive. 

  • Fails to submit payments as agreed. 

                In such cases, no refunds will be issued.  

7. Chargeback & Dispute Policy 

  • By enrolling in our program and making a payment, you agree to these Terms of Service and acknowledge that all payments are final, subject to our refund policy outlined above. 

  • If you initiate a chargeback or payment dispute through your credit card provider, we reserve the right to: 

  • Suspend or terminate your access to the program until the dispute is resolved. 

  • Challenge the chargeback by providing documentation of your agreement to these terms, payment records, and service delivery. 

  • If a chargeback is found to be fraudulent or unwarranted, you may be held responsible for any fees incurred during the dispute process. 

  • If you have any concerns about billing or refunds, please contact us first via the email in section 10, and we will work with you to resolve the issue. 

 

14. Code of Conduct 

We are committed to providing a safe, respectful, and inclusive environment. Participants agree to treat facilitators and staff with courtesy and respect. 

  • Avoid conduct that significantly interferes with the session or prevents the facilitator from delivering services effectively. For example, excessive interruptions, persistent refusal to follow session guidelines in a way that hinders the process 

  • Do not engage in harassment, discrimination, or abusive language towards facilitators or staff. 

  • A warning may be issued in cases of minor infractions. Repeated or severe violations may result in termination of services without a refund. 

11. Limitation of Liability 

  • We are not responsible for technical difficulties, internet issues, or disruptions beyond our control. 

  • The planning services provided do not constitute legal, financial, or medical advice. 

  • We do not guarantee specific outcomes from the planning process; success depends on the participant’s engagement and efforts as well as external barriers specific to each participant’s circumstances. 

12. Changes to Terms 

  • We reserve the right to update or modify these Terms of Service at any time. 

  • Any significant changes will be communicated via email.
